Scope
The definition of a ‘Prospective Customer’ is a business entity or individual engaging with REM during the contracting process, from the point of initial enquiry to the signing of a Service Agreement.

We store personal data for individuals representing a ‘Prospective Business Customer’’. Representatives include company officials and staff. We hold some or all of the following data:

Why we collect personal data
We ask for your name, address and contact details following an initial enquiry so that we can continue to make contact with you to fulfill the requirements of your initial contact.
Further information, such as IP addresses are gathered for the sole purpose of site analytics and traffic analysis. We collect data only when explicit consent is provided.

How we store the information
The data that we collect from you will be transferred to, and stored at, a destination inside the European Economic Area (“EEA”).

Files and databases are kept in secure locations on site or through trusted providers.
All areas and portals have restricted access with appropriate levels of security to prevent unauthorised access to those servers including firewalls and passwords.
What we do with the information
The primary use of the data we collect is to communicate with you to quote for and for contract negotiation in relation to internet and voice services.
We will not under any circumstances, sell or rent your information to any unauthorised third-party.
How long we keep information for
Personal data is kept until a contract is signed, or the sales enquiry is not fulfilled, in which case the data is kept for 24 months.
In accordance with legislation, you have a right to request erasure of your personal data.
This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it.
You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing, where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law.
Please note that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.

Who we share the information with
To help us to fulfill your requirements for product and service pricing we may need to share your details with a third-party network provider or sub-contractor. They may store basic information relating to a contact within a business for the purposes of contacting a named person on site for service delivery reasons.
We do not share your data with anyone else.
Making a request for your data
In accordance with our obligations under the GDPR Richmond Event Management will provide, upon request, all information held on the person making a request.
Request correction of your personal data
In accordance with legislation and in certain circumstances, you have a right to request correction of the personal data that we hold about you.
This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
